THE CHALLENGE

Upgrading a DIY site check-in process

Gonsalves and Stronck Construction (G&S) is a full-service construction management and general contracting firm serving both the public and private sectors in the Greater San Francisco Bay Area.  Its projects range from schools, hospitals, and fire stations to R&D facilities. On a day-to-day basis, on site personnel manage 40+ subcontractors on each of their sites.

During the COVID-19 pandemic, all California-based construction companies were required to track all personnel on site.  This included name, address, phone number and email. Due to the critical infrastructure nature of their projects, G&S worked throughout the pandemic.  To address the immediate need to track all personnel they created their own in-house contact tracing database to do this. Each contractor had a personalized QR code stuck to their hardhat, which was scanned as they arrived and left each site. Alongside this, contractors' email and phone numbers were recorded a database.

It soon became clear that the system wasn’t scalable. Typos in email addresses, phone numbers, and misplaced hardhats became big problems. The homegrown system to save lives was costing them hours of management time.

G&S set out to find software to meet their needs. One must-have feature was an integration with Procore to stop data double handling.

THE SOLUTION

A large amount of our business is public works focused. Knowing that we have high integrity time onsite data rolling across from EVA Check-in to Procore makes certified payroll reporting checking much easier. Now we pull a report from Procore and double check against submissions to the State from our various subcontractors.

Using EVA Check-in to record time-on-site and the type of work completed saves our site supervisors hours of paperwork.

 G&S opted for a free two-week trial to test EVA Check-in's performance.

They tested EVA Check-in with contractors using the app to check-in and out as they moved around the sites and found all the record-keeping and compliance issues around check-ins were solved immediately.

Using EVA Check-in's recently released Procore integration upgrade, G&S can link projects to site sign-ins. The integration is set up in fifteen minutes and passes visitor names, contact details, visitor type, and time/date stamp into the Manpower log for the Procore project.

Bill Hutchinson - Senior Project Manager at G&S, has customized the visitor types in EVA Check-in to include superintendent, foreman, journeyman, and apprentice so that he can see the skillset of each contractor. This further enhances the checks on certified payroll reporting.

THE RESULTS

Unanticipated benefits shine through

G&S believes that the benefits of EVA Check-in far exceed their initial contact tracing needs.

With a continuous improvement mindset, G&S has suggested feature developments that EVA Check-in has adopted. A highlight was being able to amend the reason for the visit data. G&S know that plans change. For example, a contractor is scheduled to work on Rooms 1 and 2. But they work in Rooms 2 and 4 that day for various reasons. Amending the reason for a visit and pulling it into the Procore project after a contractor has checked in saves the team even more time.

Bill estimates that the team saves between 5 - 7 hours each week using EVA Check-in. Automating data check-in and pulling the time-on-site data into the Procore Manpower log saves hours of paperwork each week.
