Challenges:

  • Paper-based sign-ins didn't meet H&S standards
  • Double-handling of sign-in data was time consuming.

Solution:

  • QR code sign-in records who is on-site
  • Sign-in solution that can be used with any mobile device
  • Syncs time-on-site data with Procore projects.

Results:

  • Saves 85 hours/week across the business
  • Accurate time-on-site data.

How McNab digitised paper-based check-ins saving 85 hours each week

I'd estimate that we're saving 2.5 hours per site per week using EVA Check-in alongside Procore. These small savings add up for our business, with over 85 hours saved per week across all sites or 4,400 hours over an entire year.

THE CHALLENGE

Upgrading paper check-ins

McNab is one of the largest private construction companies in Australia. With over 350 staff working across 30-40 sites at any time and a huge subcontractor workforce, business is booming for this proudly people-first organisation. With over 90% of projects stemming from referrals and repeat business, the reputation they have built in South East Queensland is unparalleled.

With construction an essential service, McNab staff worked throughout the pandemic. Before this, the company relied on a paper-based site check-in system. However, it soon became clear that this was a contamination point due to sharing common resources such as pens and paper.

Matthew Bates, IT Manager at McNab, was tasked with solving this problem. Luckily for Matthew, he received a phone call from one of his Project Managers, who had seen EVA Check-in being used at a sporting event. Matthew's main priority was finding an easy-to-use check-in solution for everyone.

THE SOLUTION

Growing functionality to suit construction needs

"Our top priority when we started this project was to roll out a site sign-in solution that is easy for our sub-contractors to use. It had to work well across Android and iOS devices and remember the contractors' details from their previous sign-in. EVA Check-in delivers this across McNab sites."

After an initial trial, Matthew was satisfied that even the most tech-unaware team members would find the check-in process straightforward when scanning a QR code. And when he realised that the check-in details were remembered from previous sign-ins, he rolled it out across the business with his team.

EVA Check-in was rolled out using a combination of QR codes and zones to partition the larger sites into smaller areas and QR codes alone on the smaller sites. After this, Matthew started to look at the next level of digitisation. Matthew talked with the team at EVA Check-in about integrating with Procore so that Site Managers could see at a glance how many workers are on site from each contractor. Previously Site Managers would check the site diaries at the end of the day to see who had been on-site.

THE RESULTS

A deeper Procore integration

Matthew is delighted with how quickly the integration was developed and enhanced. The integration means they have accurate time-on-site data for everyone for every project. All of this is achieved without the need to re-enter data or chase down paperwork.

Beyond the initial focus on hours tracking, EVA Check-in’s Procore integration has continued to deepen. Now workers can change their reason for visiting the site right up until checkout and have this update the Manpower log. And more detailed location information can be captured using Procore site locations to map to EVA’s zones – making it easier to manage large sites.
