THE CHALLENGE

Tracking site presence with fluctuating team size

Established in 1956 in the Middle East, Gulf Agency Company (GAC) is a leading global provider of shipping, logistics, and marine services. The Group employs over 7,500 people in more than 300 offices worldwide.

GAC offices worldwide comply with the highest Quality, Health, Safety, Security and Environment (QHSSE) standards. For GAC Qatar, having the local teams working safely across three different locations is of paramount importance. With staff numbers fluctuating between 100 and 200 on any day, tracking who works on which site and for how long, is crucial.  

When the contract with the previous sign-in provider ended, Edwin Pinto, GAC Qatar’s IT Manager, had to look for an alternative. Having experienced the benefits of a digital solution, there was no reason to go back to a manual pen-and-paper system. He wanted a cost-effective technology that not just offers the essential check-in and -out function, but also with an attractive and user-friendly interface to enhance the overall set-up. Differing levels of tech-savviness across the team is also a key consideration.

After exploring the market, Edwin opted for EVA Check-in as it suits the two busiest GAC Qatar sites. There are tablet/iPad kiosks on site for workers and visitors to check in and out easily – the preferred method over the app given the seamless experience it provides.

By requiring staff to check out from the kiosk in the presence of a security guard, the system helps to prevent timesheet fraud. This gives surety to the management team that the monthly analysis of on-site data is accurate and true and can be relied upon in the calculation of overtime payments.
